The Panhellenic President shall:​ 

  • Preside at all meetings of the Panhellenic Council and executive meetings of the Officers.

  • Know and understand the NPC Manual of Information, FSL Policy, and all governing documents of this Association.

  • Communicate and meet biweekly with the Assistant Director of Fraternity and Sorority Life, and when necessary, with the National Panhellenic Conference Area Advisor.

  • Ensure that the NPC College Panhellenic annual report is completed.

  • Maintain current copies of the following: The University of Tampa's CPA Bylaws and Standing Rules, the CPA budget, contracts executed on behalf of the CPA, correspondence and materials received from the NPC area advisor, all NPC College Panhellenic reports, and other pertinent materials.

  • Review all College Panhellenic checks involving The University of Tampa’s College Panhellenic.

  • Oversee all executive officers and directors in their duties throughout their term in office.

  • Serve as member ex-officio of all Panhellenic Council committees.

  • Serve as a liaison between Panhellenic and the University community.

  • Serve on University committees as the official representative of the University of Tampa College Panhellenic Association unless otherwise delegated or assigned.

  • Supports all chapters from a governing council standpoint to further the prosperity of the Greek community and the overall Tampa community. 

  • Allot at a minimum of 5 hours a week to work strictly on Panhellenic duties and responsibilities (including executive meetings).

  • Delegate duties in the event of her absence according to the Officer’s Chain of Command.

  • Aide the Recruitment team in all recruitment and Rho Gamma training.

  • Perform all other duties pertaining as assigned.

Summary: The Panhellenic President maintains the overall responsibility for the operations of the Panhellenic Executive Board as well as the eight sororities comprised of over 1,000 women involved in and around campus. She calls and presides over all meetings of the Panhellenic Executive Board and the Panhellenic Council. The Panhellenic President reports biweekly to the Panhellenic Advisor as well as the National Panhellenic Conference Area Advisor when needed. She acts as the official representative of the Panhellenic Council to the University of Tampa. By working closely with chapter presidents, campus organizations, and other Greek councils, the President creates relationships that are helpful to promote the Panhellenic community on UTampa’s campus as a whole.

Vice President of Operations shall:

  • Collect and organize class schedules from all delegates and Executive members for General Assembly and Executive meeting times for the upcoming semester.

  • Keep an accurate roll of the members of the delegates in General Assembly

  • Collect chapter and officer reports for each General Assembly meeting.

  • Record minutes of The University of Tampa CPA and the Officers and maintain a complete and up-to-date file that includes the minutes of all meetings from the date of organization and current correspondence.

  • Send meeting minutes to the NPC area advisor and Assistant Director of Fraternity and Sorority Life.

  • Know and understand the NPC Manual of Information, FSL Policy, and all governing documents of this Association.

  • Ensure that the NPC College Panhellenic annual report is completed.

  • Maintain current copies of the following: The University of Tampa's CPA Bylaws and Standing Rules, the CPA budget, contracts executed on behalf of the CPA, correspondence and materials received from the NPC area advisor, all NPC College Panhellenic reports, and other pertinent materials.

  • Revise CPA Bylaws and Standing Rules, Recruitment Rules, and Code of Ethics each semester to ensure The University of Tampa College Panhellenic complies with NPC.

  • Handle and address all alleged violations of NPC Unanimous Agreements, CPA Bylaws, Code of Ethics, Membership Recruitment Rules, and Standing Rules.

  • Ensure all regular members of the College Panhellenic understand the NPC Judicial Procedures.

  • Preside at judicial hearings.

  • Supervise the finances of The University of Tampa's CPA.

  • Receive all payments due to the CPA, collect all dues and give receipts.

  • Pay promptly the annual NPC dues and all bills of The University of Tampa's CPA in coordination with the Assistant Director of Fraternity and Sorority Life.

  • Prepare the annual budget and, after its approval by the CPA, provide a copy to each CPA member sorority.

  • Maintain current financial records; give a financial report at each regular meeting of the CPA and an annual report at the close of her term of office.

  • Aide the Recruitment team in collecting CPA Financial Transparency documents from each chapter.

  • Advise the Director of Academics & Scholarship.

Vice President of Recruitment shall:

  • Coordinate Panhellenic Recruitment in accordance with the National Panhellenic Conference recommendations.

  • Lead the planning and execution of formal and informal recruitment processes, ensuring that all activities follow Panhellenic and university guidelines and that the process runs smoothly for potential new members (PNMs) and sororities.

  • Direct all recruiting activities of Panhellenic members including Formal Membership Recruitment, Continuous Open Bidding, & Orientation Sessions.

  • Coordinate logistical aspects of recruitment, such as room reservations, event setups, technology (e.g., recruitment software), and communication with campus facilities & the Assistant Director of Fraternity & Sorority Life.

  • Review all chapter materials for recruitment including, but not limited to, videos, brag tables, room setups, alumnae invite lists, and budgets.

  • Starting in the spring, meet as necessary with chapter recruitment chairs and recruitment advisors to finalize recruitment rules and schedules, as well as keep chapters updated on recruitment information through roundtables.

  • Ensure that recruitment rules and guidelines, including those from the National Panhellenic Conference (NPC), are clearly communicated and followed by all chapters to maintain fairness and transparency throughout the process.

  • Conduct pre- and post-recruitment meetings and surveys to obtain suggestions and comments for the following year’s formal membership recruitment.

  • Maintain an ongoing evaluation of recruiting procedures.

  • Coordinate education and programming initiatives on the best practices of continuous open bidding, when necessary, such as, but not limited to, planning a spring meet and greet with the Director of Recruitment Marketing.

  • After the recruitment period, gather feedback from PNMs, chapters, and Rho Gammas through surveys or meetings to assess the effectiveness of the recruitment process and identify areas for improvement.

  • Propose annual recruiting policies and submit an Annual Report on Recruitment.

  • Identify ways to strive for a more Values-Based Recruitment.

  • Advise the Director of Rho Gammas and co-advise the Director of Recruitment Marketing with the VP of Public Relations.

  • Collaborate with the Director of Recruitment Marketing and the VP of Public Relations to create and promote recruitment materials, including social media campaigns, flyers, and informational sessions to attract PNMs.

  • Collaborate with the Vice President of Equity and Inclusion to ensure that recruitment is inclusive and welcoming to all PNMs, regardless of their background, and that the process is accessible to everyone.

  • Monitor recruitment events for rule compliance and address any recruitment infractions, working with the Judicial Board or Panhellenic Executive Board to resolve issues and enforce consequences if needed.

  • Act as a point of contact for PNMs, answering questions, offering support, and ensuring that they feel informed and comfortable throughout the recruitment process.

  • Serve as the liaison between the Unified Greek Council, Interfraternity Council, and the CPA to promote joint DEI programs and support underrepresented groups.

  • Host roundtables with the chapters’ diversity, equity, and inclusion chairs regularly.

Summary: The VP of Philanthropic Services role oversees all philanthropic and community service-related initiatives for the College Panhellenic including planning/hosting events, fundraising, education, and being a liaison between Circle of Sisterhood/Tampa Bay local charities and UTampa. Another aspect of this role is to provide wellness initiatives to the Panhellenic community whether this be partnering on on-campus events, hosting workshops, or planning off-campus service excursions for the Panhellenic community. This role also chairs the Circle of Sisterhood committee which will assist in events/fundraising/education on CofS.
